MUST:5+ years minimum as an Exec Admin Experience supporting a CFO or an accounting dept Experience with some of the following accounting activities : bookkeeping, using QuickBooks, doing payables and receivables, collections, sending invoices, helping with tax mailingsfilings Experience with admin tasks like: scheduling, expenses, performance review tracking, taking meeting notes, help with presentationsExperience with Excel Experience organizing meetings, lunches, for the company Very detail oriented and good with numbersEngaging personality and proactive PLUS:Bachelors degree- hugely preferredSupported a HR along with finance before Come from Insurance financial services background Industry experience in insurancewe use puzzle hr and paylocity - experience there would be greathas worked with Salesforce done employee onboarding Strong Project management experience and providing status updates for project management (please ask- how many projects have you had to keep organize at once, and what were those projects, did you take meeting notes on those projects) Example of a project= new client onboarding process, revamping that DAY TO DAY:Our fast growing client, an insurance firm based out of Newtown Square is seeking a highly organized and efficient Executive Admin to support their CFO and their accounting team of 7 total individuals. The Executive Assistant will enable and improve the effectiveness of the executives by being proactive, prioritizing activity, being organized, helping to coordinate projects, and being proactive with identifying other areas for assistance. The day to day responsibilities include: administrative support related to company activities, scheduling, travel organization (business and personal), coordinating appointments (business and personal), vendor management and communication, project management, and both e-mail and written correspondence. You will work alongside a self-motivated admin team that is high profile and a crucial part of the company. There is a wide range of responsibilities that makes this role challenging and dynamic. This position requires a highly discreet person who has strong organizational, analytical, and interpersonal abilities. Along with Exec Admin duties you will also support finance with any of the following: bookkeeping, using QuickBooks, doing payables and receivables, collections, sending invoices, helping with tax mailingsfilings, and more. You will also help with scheduling for Executives and coordinate meetings and calls. You will also perform project management for projects related to the COO's areas. The Executive Admin will also answer phones, emails, and forwards along messages when needed and take detailed notes at meetings, helps with daily time management and priority setting for Executives, and coordinate performance review process by communicating timelines and scheduling meetings when appropriate.
