ADMINISTRATIVE ASSISTANTLong Island Speech is looking for a dynamic Administrative Assistant to join our team. This role combines Administrative Assistant, Personal Assistant, and Marketing Assistant responsibilities to support the Chief Operations officer. Supporting the manager of a private practice with offices across Long Island and liaise between all locations (including 80+ therapists & 50+ Administrative staff, & numerous patients) Manage professional calendar Serve as a first point of contact for incoming calls, take detailed messages and prioritize information Draft email responses and convey all memos to staff, including but not limited to annual meetings, monthly lectures, team building events, etc. Communication skills a MUST Schedule conference calls, in-person meetings and virtual meetings using platforms such as GoToMeeting, Zoom, etc Schedule all interviewsUpdate and compartmentalize various personal and professional documents and files to ensure quick and easy access to all information Maintain a high level of executive support skills including excellent communication, grammar, and proofreading skillsPlan and coordinate all internal corporate events such as company-wide meetings, private lectures to therapists, seminars, fundraisers, etc Create reports such as monthly patient reviews, yearly personalprofessional purchase report, payroll, etc Create excel chartsAdvise interns and monitor all Clinical Fellows' hours, tasks, and trainingEstablishing effective working relationships with all colleagues, other leadership, administration, staff and departments Perform other related duties and responsibilities as requiredrequestedRequirementsYou will need:Minimum 3+ years of administrative assistant work experiencePrevious experience in a fast-paced professional services firm is preferredHighly motivated with excellent organizational and interpersonal skillsProficient in Google docsProficient in ExcelTechnology savvy in using various internal electronic systems and applicationsExcellent business writing and proofreading skillsProficiency in intermediate MS OfficeDemonstrated experience in handling multiple priorities and high degree of timely delivery of workAbility to be resourceful and problem solvingExceptional professional demeanor and etiquetteMeticulous attention to detail, organization and follow-upDemonstrated team player with a flexible personality and positive attitudeMust be able to work possible flexible hours, if necessaryBenefitsMedical, Dental & Vision Benefits with a flex spending card401kPaid time offPFMLA - Up to 12 weeks and 67% of salary for the care of a newborn or family memberCompensation: $35,000 - $55,000 based on experience
