Our experience and passion has helped us win many awards for innovative community design, excellent service and exceptional care.Job DescriptionProvides administrative and legal support to the Executive Vice President/CFO, Executive Vice President/CIO and Vice President/General Counsel, including support of the seamless operation of the home office and organization, and tracking of business, legal, and risk management projects.Paralegal DutiesCoordinates discovery requests with outside counsel and communities and assists with information requests for other claims and third-party record requests, including preparation, management of legal document flow, mail processing, and other legal support as assigned.Prepares and organizes legal documents and files and executes projects as assigned, including document productions for subpoenas and other purposes.Examines and tracks itemized legal invoices and statements submitted by attorneys or legal firms representing company per matter and submit for approval.Responsible for drafting, formatting, and proofing letters, presentations, and memos as directed.Responsible for support related to claims and litigation, including document production, status reports, deadline management, and communication with outside law firms.Prepares and maintains claim and litigation summaries, logs, and updates for VP/General Counsel as directed.Ensures compliance with various regulatory requirements by tracking, preparing, and timely filing necessary documents with government agencies or regulatory bodies, such as registrations for state licensing, entity formation, fictitious name permits, and copyright/trademark purposes.Maintaining organized records of regulatory filings and pile data and conduct research as assigned for various matters.Report claims, complete special projects, and provides risk management support, as assigned.Administrative DutiesMaintains files and organizational needs of Primary Supervisors.Manages and updates calendars and expense reports of Primary Supervisors.Coordinates travel reservation requests of Primary Supervisors.Generates, screens, and manages all correspondence, mail, packages, etc. of Primary Supervisors as appropriate.Assists with general office needs, i.e., postage, copies, and office supplies, and provides receptionist relief and break room cleaning and supplies as requested by Primary Supervisors or other senior management.Answers and screens all incoming telephone calls for company officers in a courteous and professional manner. Routes telephone calls and takes messages, as appropriate.Demonstrates exceptional customer service skills while performing all job tasks, including answering telephone, greeting guests, recording outside requests.Coordinate with and provide support to other departments as necessary, directed, and/or appropriate.Other administrative support, as assigned.QualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
