Statement of DutiesThe Program Coordinator (Marketing) is responsible for assisting with marketing and communication strategies to promote all programs and events for Parks and Recreation Department. This includes activities for children, adults, seniors, and all citizens of Somerville. Performs all related duties.Essential Functions:The essential functions or duties listed below are intended only as illustrations of the various type of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.Works with various populations of the Somerville community in connecting them to the appropriate resources.Serves as a liaison for School Department, Police Department, and other community partners.Collects activity and registration records and prepares routine and complex program plans and requirements well in advance of budgetary recommendations; prepares reports describing and evaluating programs and identifies methods and areas to improve.Works collaboratively with the Recreation team in providing quality programing.Drives Parks & Recreation vehicles to both transport supplies and participants.Serves as liaison to the general public in responding to inquiries, problems and complaints; provides technical assistance and direction to instructors, coaches, referees and others in conducting programs and events; explains policies and procedures to participants, staff, and volunteers.Attends community events, recreation conferences, and various meetings to promote and develop support for municipal recreation programs and events; distributes materials to inform schools, churches, community groups, and others about upcoming events and programs.Oversees registration for scheduled events and programs; assists in registering participants; accepts registrations and payments for programs and events; maintains registration records and balances cash receipts; reviews registration materials and rosters for completeness.Assists in maintaining PRD department social media, website, blog and newsletter and additional digital public facing content in collaboration with PRD staff and other department staff as needed. Maintains program schedules, registration materials and records, fee collection reports, budget reports, facility usage sheets, department activity reports, facility and equipment maintenance records, and other teracts with parents, children, program participants, instructors, coaches, youth associations, community organizations, arts organizations, civic groups, and others regarding programs, events, and poses correspondence, drafts reports, develops tables and charts, designs flyers, and promotional materials using computer applications.Assists with maintaining department website and coordinates information dissemination to public across all divisions within departmentRefers to city policies and procedures, recreational and athletic handbooks, first aid manuals, national recreation programming materials, nature guidebooks, city maps, budgets, administrative records, registration materials, and other documents in performing assigned duties.Support a full range of communications and marketing engagement functions in the Parks and Recreation Department, including but not limited to:Assist with special events and programs.Assist with answering telephone, routing calls, and taking and relaying messages.Act as a customer service representative, as needed.Acts as a liaison to the City Communication Department.Other related duties as assigned.Minimum QualificationsEducation and Experience: Bachelor's Degree and three (1-3) years' experience in communications andor community engagement experience; or any equivalent combination of education, training and experience which provides the required knowledge, skills and abilities to perform the essential functions of the job.Knowledge, Abilities and SkillKnowledge:Knowledge of a variety of recreational modalities. Knowledge of the scope and goals of the City's recreational programs. Excellent knowledge of grammar and usage. Good knowledge of and strong interest in local government. Strong understanding of marketing fundamentals, social media account management, and managing marketing budget. Understanding of equity, inclusion, and language justice needs within communications.Ability: Ability to meet and deal with the public effectively and appropriately; ability to handle problems effectively; ability to communicate clearly, both orally and in writing; ability to operate a computer; ability to maintain confidential information; ability to maintain, manage, and organize records; ability to deal appropriately with employees, officials and members of the general public. Additionally, the ability to evaluate situations and make decisions; ability to perform a variety of tasks simultaneously or in a rapid succession; ability to concentrate and accomplish tasks despite interruptions; ability to communicate clearly and effectively orally and written; and the ability to complete accurate records and make reports.Skill: Excellent organizational skills; excellent data processing skills in the use of personal computers and office software including Microsoft Word, Excel, Adobe Creative Suite, Canva and spreadsheet applications.Work Environment The work environment involves everyday discomforts typical of offices, with occasional exposure to outside elements. Noise or physical surroundings may be distracting, but conditions are generally not unpleasant. Employee may be required to work beyond normal business hours in response to attend evening meetings or complete work assignments.
