Pathways Management Group is seeking an Executive Assistant to provide exceptional leadership, compassion and diligence to the President. Come be a part of the growth and change for students and communities! ***This role will be primarily Remote but will require 20-30 in-person days per year, for Executive support, meetings, graduations and professional development at their East Pasadena, CA headquarters.***Southern CA candidates preferred.Sales & Operations experience preferred.The Executive Assistant will directly support and assist the assigned Executive in carrying out the department's goals and vision. Will serve as an integral member of the support team responsible for project coordination delivery of varying complexity, related to company strategic planning, under the direction of an assigned Executive. Provides a variety of high-level administrative functions for company leadership.Essential Functions include, but are not limited to the following:*• Identifies and addresses operational challenges and obstacles as they arise.• Develops and implements solutions to improve processes and workflows.• Streamlines and optimizes departmental processes to improve productivity and efficiency.• Ensures that all operational tasks are completed accurately and in a timely manner.• Acts as a point of contact for Leadership for internal and external communications, both in person and via phone or email.• Assists in scheduling meetings, conferences, and appointments for staff members.• Provides additional Executive leadership support on site and off site at company events and client graduations.• Collects data and prepares reports, including conclusions and recommendations for ExecutivesSupervisor.• Provides organizational and logistical support as needed for Supervisors.• Reviews, compares and prepares various legal documents (i.e. proposals, petitions, applications) for conformation and consistency.• Enhances executive's effectiveness by providing information management support• Assist executive with making consistent decisions by advising them of historical precedents; serving as a liaison between other members of the executive team• Completes projects and special assignments by establishing objectives; determining priorities; managing time; monitoring progress; and problem-solving• Updates job knowledge by participating in educational opportunities and researching relevant publications• Prepare project organization and communication charts• Creates and composes correspondence for Supervisor(s) as needed, providing error-free final product with minimal number of drafts.• Assist the Executive in the drafting and issuance of project proposals, tenders, budgets, cash flows and preliminary schedules• Coordinates schedules and calendars for assigned executivesupervisor.• Handles advanced support for staff meetings and activities• Prepares, organizes and maintains corporate documents and records (i.e. notices, minutes, memos, articles).• Provides advanced support to other Executives as needed.• Supervise administrative support staff.• Assists with other projects, functions and duties as assigned.Knowledge, Skills and Abilities Required:• Advanced knowledge of executive assistant duties and working with high level positions within an organization (CEO, CFO, Presidents, Directors of Departments).• Strong knowledge of the business environment and office procedures.• Knowledge of basic accounting.• Ability to prepare correspondence, reports, contracts.• Ability to identify Supervisors' needs and independently resolve potential problems.• Ability to make decisions, exercising reasonable independent judgment and discretion with minimal guidance andor supervision.• Ability to maintain confidentiality and appropriately disseminate information.• Ability to follow up on task commitments and give updates as needed.• Ability to work efficiently under pressure and meet deadlines, while maintaining courtesy and professionalism.• Excellent written and oral communication skills.• Strong organizational and proofreading skills, with attention to detail.Education and Experience:• Minimum high school diploma or equivalent required. College degree preferred.• Minimum of 5 years administrative experience at an executive level or equivalent related experience.
