JOB SUMMARYResponsible for the administration of various types of trusts including revocable and irrevocable trusts, guardianships, special needs trusts, and charitable trusts. Responsible for the administration of agency relationships such as investment advisory and custody accounts.The Trust Administrative Officer is responsible for developing relationships with clients and their families, providing excellent client service, administering accounts in accordance with the terms of the trust document, and building the relationship to ensure the client views the company and the Trust Administrative Officer as their trusted advisor.Responsibilities include risk management, elevating concerns to leadership, adhering to policies and procedures, deepening relationships with the client's external advisors, developing referral sources, and ensuring the next generation(s) in assigned relationships view the company and the Trust Administrative Officer as their advisor.DUTIES & ESSENTIAL JOB FUNCTIONSServe as the clients' Relationship Manager and trusted advisor by developing a close, personal relationship with the clients and their families, anticipating clients' wealth planning needsCoordinate fiduciary and administrative services for approximately 150 - 200 client relationshipsAdminister multigenerational trusts, often with discretionary income and principal payments distributed among multiple family members while managing financial riskExecute the terms of any estate plan or documents in which company serves as Trustee, Executor, Personal Representative, Guardian or Agent for Fiduciary, often exercising broad discretion for beneficiaries with competing interestsRetain client base by working with the client service team to deliver the highest service and adhere to client contact service standards established by the firmAs the primary fiduciary contact, resolve client issuesChallenge and collaborate with the client to articulate and achieve goalsCollaborate with the client's advisors, including attorneys and accountants, to develop and implement a comprehensive wealth planComplete annual administrative account reviews; complete initial post-acceptance reviews for new accountsEnsure all internal compliance and proper documentation requirements are met, and consistent with internal fiduciary policies and procedures regarding new business and asset acceptances, discretionary actions, and other policies, procedures and guidelinesWork closely with Trust Tax Accountants to ensure proper tax reportingProspect for clients by sourcing and building a pipeline of opportunitiesSolicit and receive referrals from clients, internal business partners and Centers of Influence (COIs)Cultivate new referral sourcesAcquire additional assets (account additions or additional accounts) from existing clientsDemonstrate highly developed client contact and relationship management skills, including the development of targeted business plansRecommend enhancements to policies and proceduresMaintain knowledge of current trends and changes in the industry with regard to fiduciary matters (e.g. estate planning, probate, estate, gift and income tax planning, guardianships, special needs trusts, state-specific laws)Develop subject matter expertise in a fiduciary-related area (e.g. concentrated stock positions, unique assets, discretionary distributions, asset protection)Attend community andor industry-specific forums, conferences andor meetings to broaden relationships, network, and continually deepen knowledge of trends, practices, products and competitorsParticipate actively in community affairs and professional associationsQUALIFICATIONSDemonstrate advanced knowledge and mastered skills in the areas of trust administration, estate planning strategies and income, gift and estate tax mattersOperate effectively in an environment that stresses both individual accountability and team-based performanceDemonstrate superior interpersonal negotiation, verbal and written communication and presentation skillsUse effective leadership, problem-solving and analytical skillsProvide professional presence within professional and community organizationsREQUIREDMinimum 3 years of demonstrated personal trust administration experienceDemonstrate a solid understanding of financial markets and investment theoryExhibit strong interpersonal communication skillsExcellent attention to detail and organizational skillsComputer proficiency, including Microsoft Office; SalesForce experience preferredAbility to work within a team-based settingEDUCATION:Bachelor's degree required; graduate degree (e.g. JD or MBA) or professional designation (CTFA, CFP, TEP, AEP) preferredPOSITION WORK LOCATIONTrust Administrative Officer roles are hybrid with an expectation that the Trust Officer is in the office 2-3 days per week. The remainder of the week is a remote work environment.
