Covideo is seeking a highly organized and proactive Office ManagerAdministrative Assistant to join our growing team! The ideal candidate will be responsible for ensuring the smooth and efficient operation of our office environment. This person will have a natural flexibility in handling day-to-day routines and act as an Administrative Assistant for our CEO and VP of Partnerships.ResponsibilitiesServe as the primary point of contact for visitors to the office and ensure a friendly, personal experienceEnsure peak operations for the organizationCoordinate internal and external resources, and cultivate relationships with vendorsRespond to requests and questions about office operationsMaintain office supply and kitchen inventory by checking stock, anticipating needed supplies, placing orders for supplies, and verifying receipt of suppliesEnsure office equipment is functioning properly, maintained, and serviced as neededManage vendor relationshipsManage all aspects of spaceinfrastructure planning (ex: moves, additions, changes to workstations) and provide answers, resources, and solutions when requestedEnsure restroom facilities are stocked with necessary suppliesEnsure the kitchen is stocked with necessary suppliesOversee the general tidiness and cleanliness of the office spaceHandle incoming and outgoing mail packagesProvide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travelRequired skills and qualificationsProven experience as an Office Manager, Administrative Assistant, or a similar roleStrong time-management and people skills, high degree of flexibility, and excellent multitasking abilityStrong verbal and written communication skillsAttention to detail and problem-solving skillsAbility to prioritize tasks effectivelyProficiency with office applications such as GSuite, Slack, Zoom, etc., and aptitude for learning new software and systemsAbility to maintain confidentiality of company informationProfessional demeanor and strong interpersonal skillsThis is an on-site position.
