More information about TA can be found at Overview:The Office Operations Coordinator assists in ensuring the smooth operation and appearance of our high-end, high-service Boston headquarters. The role's primary responsibility is maintaining a clean, well-stocked office. Additionally, this individual serves as the office's morning receptionist from 8:00 - 9:00am daily and also covers the receptionist's breaks throughout the day.Responsibilities include:Office Upkeep:Open the office each morning (unlock doors, refill refrigerators, stock paper products, and put out breakfast items)Review and maintain the state of the office frequently throughout the day to ensure everything is stocked and in working orderCheck all conference rooms daily to ensure they are clean and stockedRespond to email requests in a timely manner; follow up when task is completeManage and organize storage closetsMaintenance:Keep kitchen refrigerators adequately stocked with beveragesOrder and stock snacks and other kitchen offeringsEnsure adequate stocking of kitchen supplies throughout the day; order supplies as neededEmpty dishwashersClean counters, microwaves, water coolers, and coffee machinesAssist with catering setup and breakdown dailyMailShipping:Sort and deliver all incoming US mail, UPSFedEx, and internal mailPost and deliver all outgoing mail to building mailroomRetrieve packages from building mailroom and deliver as needed throughout the daySupplies:Assist with monitoring and maintaining an adequate stock of supplies in the mailroom, order supplies when needed.Serve as a resource for employees looking for specific supplies.Maintain adequate stock of copy supplies in all copy areas and paper supplies in copiers.Assist staff with large copybinding projects when needed.Miscellaneous:Reception coverage (mornings 8-9am) and as needed throughout the dayReception vacationsick day coverageMove office furniture and boxes as needed and directedAssist with special projects as needs ariseQualifications:Experience in a professional business environmentGood time management, prioritization, and multitasking abilitiesAbility to be active and on your feet for a significant portion of the workdayExcellent interpersonal skills to build strong relationships with colleaguesEffective communication, including speaking, writing and active listeningStrategic planning and problem-solving skillsCharacteristics of an Outstanding Performer:Service minded individual, who is approachable and willing to listen and react to suggestions, concerns, andor ideasProactive approach assignments, especially keeping items in stock and readily available"Roll up your sleeves" attitude with willingness to do whatever needed to get the job doneSelf-starter who can plan, prioritize, and organize workAbility to effectively interact with partners, staff and vendorsAbility to deal with pressured situations clearly and tactfullyPride in the job and personal work productCompensation and Benefits:A highly competitive package that includes a base salary plus annual performance pany currently pays 100% of medical, dental, disability and life insurance pany contributes an amount equal to 15% of compensation to employee-directed retirement account.
